The short answer: define the job before comparing equipment
Start with the facility instead. Your team does not need a finished specification before the first conversation. It needs a shared picture of what exists, what is causing trouble, and what the current phase is supposed to accomplish.
Answer the seven questions below before requesting a scope. You will give the contractor better information, make competing proposals easier to compare, and expose assumptions while they are still inexpensive to fix.
1. What areas are actually in scope?
Name the spaces the project should address: entrances, controlled doors, gates, work areas, equipment zones, parking areas, yards, or connections between buildings. Mark anything that is out of scope.
“Upgrade our cameras” can mean several different projects. A simple area list helps separate camera coverage, door control, network capacity, and cabling needs before they blur into one request.
2. What systems are already there?
Build a plain-language inventory, then label each item as known, uncertain, or unavailable. The goal is not to diagnose the system yourself. It is to show an assessor what may need to be reused, tested, replaced, or documented.
Cameras, recorders, and viewing stations
Controlled doors, gates, locks, and credential methods
Security or alarm components
Structured-cabling and fiber pathways
Network equipment and wireless coverage
Available diagrams, device lists, or previous scopes
3. What decision should the project help you make?
Write the operational question in one sentence. A clear question gives the assessment a purpose and makes proposals easier to compare.
Should an existing system be expanded or replaced?
Which doors and areas belong in the first access-control phase?
Which facility zones need better visibility?
What cabling or network dependencies need review before equipment is selected?
4. Which systems have to work together?
Commercial security components rarely stand alone. Cameras, access control, connected security equipment, and Wi-Fi may rely on pathways, power availability, structured cabling, fiber, network capacity, or links between buildings.
Note known equipment locations, pathway constraints, long distances, exterior areas, and places where several systems meet. These observations are starting points for site review—not engineering or compliance conclusions.
5. What belongs now, later, or not at all?
Give every requested item one phase label. Phasing keeps an aspirational wish list from becoming an accidental commitment. It also helps the facility plan pathways and dependencies without assuming every component will be installed at once.

6. Who owns each decision?
Identify the people who can answer facility, operations, IT/network, purchasing, and final-approval questions. For each person, record the decision they own—not private credentials or sensitive details.
This prevents a scope from stalling because a door schedule, network constraint, or approval path was discovered too late.
7. What support is expected after the work?
Ask who will administer the system, receive documentation, handle routine changes, and coordinate any outside service. Put support expectations in writing.
Optional monitoring-ready or live-video support may be available through a UL-listed central-station relationship. That is not a universal promise of monitoring, 24/7 response, emergency response, or a particular response time. The project scope should identify the parties and services actually included.
Bring this one-page summary to the first discussion
Do not send passwords, access codes, employee records, detailed security procedures, or sensitive facility diagrams through an unapproved channel.
